JOB TITLE: OPERATIONS COORDINATOR
\nDEPARTMENT: OPERATIONS DEPARTMENT
\nReports to: Chief Operating Officer
\nIn this role you will be responsible for supporting the coordination and running of the Operations Department alongside the Operations Manager and a wider team of technicians and coordinators.
\nResponsibilities include:
\nLiaising with the sales support team to provide all art services for display and appointment needs
\nEnsure Gallery display for appointments and exhibitions are coordinated in a way that supports the Halcyon vision and its values, and ensure all sales-related demands are executed in a timely manner
\nOverseeing movement of stock and accurate maintaining of records
\nCheck artwork quality and assessing condition
\nTracking all products/issues, ensuring correct route is followed
\nLiaise with suppliers re on-going orders / timeframes / cost management
\nAssist department with supplier deliveries and collections
\nCoordinating logistics and installations for UK and oversees appointments
\nWorking closely with suppliers and artists’ workshops
\nAdministrative duties for the department, including:
\nDevelop a direct and positive working relationship with the operations office team, sales support team and maintain sound communication with other team members
\nKey Qualities Required:
\nEssential:
\n3+ years of experience in a logistics role gained within a gallery, auction house or museum setting
\nStrong communication skills at all levels
\nHigh level of attention to detail
\nHighly organized; accuracy with figures / sensitive data
\nAssertive, yet calm demeanour
\nAcute awareness of Supply and Demand Chain
\nPro-active at all times; works to own initiative
\nTeam player
\nOffice 365 fluency
\nBeneficial but not essential:
\nAdditional language(s)
\nUnderstanding of customs procedures
\nClient liaison experience
\nUnderstanding of framing methods
